Defining Late Cancellations

Late cancellations a/k/a cancellations ‘inside-the-notice,’ a/k/a ‘no-shows,’ are defined as a notice that occurs after 8 am of the preceding calendar day of the scheduled appointment. See proper cancellation notice examples below.

All clientele are required to self-manage their therapy appointments within the SimplePractice portal. All SimplePractice appointment reminder emails describe how to cancel if a client is not permitted to by SimplePractice; ie due to being inside-the-notice as defined below. See said emails for more information.

Sjo Cancellation Notice

All appointments must be canceled by 8 am the preceding calendar day to avoid a late cancellation fee.

Proper cancellation notice examples

  • A 3 pm Tuesday appointment must be canceled by 8 am on the calendar day before, or Monday.

  • A 10 am Friday appointment must be canceled by 8 am on the calendar day before, or Thursday.

  • A 9 am Monday appointment must be canceled by 8 am on the calendar day before, or Sunday.

  • A 10 am Tuesday appointment must be canceled by 8 am on the calendar day before, or Monday, even if that Monday is a holiday.

  • A 2 pm Monday appointment must be canceled by 8 am on the calendar day before, or Sunday, even if the preceding Friday was a holiday.

  • A 9 am Tuesday appointment must be canceled by 8 am on the calendar day before, or Monday, even if Sjo’s practice is closed that Monday.

It is the client’s responsibility to self-manage their therapy appointments regardless of a weekday or weekend, whether a holiday is in close proximity to the scheduled session, or if Sjo’s practice is closed in close proximity to the scheduled session.

Clients will not be charged a cancellation fee for force majeure or cancellations initiated by Sjo. Clients will be given an opportunity to reschedule in close proximity to the canceled session in a private scheduler via Calendly.

Clients will be charged a cancellation fee of $100 to the credit card on file with either SimplePractice or a third-party insurance platform informed of during the initial consultation. Said party can be different from the insurance broker where claims are submitted: due to what is permissible per each insurance broker’s platform.
